Exhibitor Registration Process:

  1. Please fill out the Exhibitor Registration Contract below.
  2. An email will be sent confirming your contact information and Exhibitor registration being received.
  3. An invoice will be emailed for all exhibitor items selected. Invoices may be paid by check or any major credit card using the Infinity International's Square Online Payment Portal.
  4. An email will be sent confirming Exhibitor Booth assignments following Exhibitor Committee approval. (~Feb 2017)

Purpose and Rules of Dixie Crow 42


PURPOSE:

The symposium exhibits will allow organizations to display equipment, products, and services suitable for use (or being used) in electronic warfare, information warfare, or information operations applications.


RESERVING BOOTH SPACE:

Please complete the online contract no later than February 3, 2017 to address any particular needs.  Online contracts will not be accepted after March 10, 2017.  Note: Exhibit Committee will assign final space, which may be different than requested.


CANCELLATION POLICY:

In the event the Exhibitor cancels any or all of the exhibit space contracted herein, the Exhibitor must do so in writing by email.

  • Full Refund: Cancel at least 30 days prior (Feb 17, 2017)
  • 50% Refund: 29 days to 10 days prior (Feb 18 - Mar 9, 2017)
  • 0% Refund: Within 9 days of the show date (Mar 10 - Mar 19, 2017), full liability is incurred

Send email notification of cancellation to the Chapter Exhibits Committee no later than March 9, 2017 if your contract cannot be fulfilled.

ASSIGNMENT OF SPACE:

A limited number of exhibit spaces are available.  Spaces will be assigned by the Exhibits Committee based on prior participation in the Dixie Crow AOC symposium and the date your payment is received. The symposium committee will attempt to accommodate location requests by exhibitors based on these criteria. The committee, however, will make the final decisions, in the best interests of the symposium. Priority may be given to organizations that actively support the Dixie Crow Chapter. Final assignments will be confirmed once the final exhibitors are determined.


FLOOR PLAN ARRANGEMENT:

The Dixie Crows reserves the right to rearrange the final floor plan based on unsold or unoccupied exhibit space and move exhibitors to a new booth location and will notify the exhibitor of the move immediately.


BOOTH FEATURES:

Each booth will include the following

  • 7" x 44" identification sign,
  • 8' high back drape and 3' high partition drape,
  • Access to power (115 volts, 60 Hz AC, 15 amperes per 10’ x 10’ space).
  • Wireless access (Provided by Museum)

 

SERVICE CONTRACTOR:

Freeman Decorating is the Official Service Contractor for the Symposium.

Arrangements for services (i.e., tables, chairs, carpeting, rental furnishings, etc.) should be made with Freeman’s “Exhibitor Services Department”:

EXHIBITOR SERVICE PACKET:

An Exhibitor Service Package will be forwarded upon receipt of your signed contract.  If no information has been received, please contact the Service Contractor directly.


SHOW HOURS:

In their own best interest and for security, exhibitors are required to keep an attendant in their booth during all open hours.  Attendants are encouraged to wear business attire.  All booth attendants must be registered.

Symposium will run from 11:00 AM Tuesday, March 21st through 3:00 PM Wednesday, March 22nd, 2017.

EXHIBITORS MAY NOT DISMANTLE BOOTHS PRIOR TO 3:00 PM, Wednesday, March 22nd, 2017.

EXHIBIT SPACE MUST BE CLEARED BY 9:00 PM, Wednesday, March 22nd, 2017.


LOSS OR DAMAGE:

Exhibitor agrees that Dixie Crow Chapter or the Museum of Aviation shall not be liable for any damage, theft, or liability of any kind, or for damage or injury to persons or property during the term of this agreement, from any cause whatsoever, by reason of use, occupation, and enjoyment of exhibit space by Exhibitor or any person thereon with the consent of the Exhibitor, and that the Exhibitor will indemnify and save harmless AOC Dixie Crow Chapter from all liability whatsoever, on account of any such damage, or injury, whether or not caused by negligence of or breach of an obligation by Exhibitor or its employees/representatives.


SIDE VIEW RESTRICTIONS:

Exhibitors located internally on the exhibit layout shall refrain from erecting displays or drapes on the sides of the booths.

By clicking "SUBMIT", the exhibitor's point of contact agrees to abide by the purpose and rules of the symposium as set by the Dixie Crow Chapter of the AOC, as acknowledged in this exhibitor registration.  Acceptance of this application, by the Dixie Crow Chapter, with the donation for space converts this registration into a contract for exhibit space.
